Ad Budget Calculator for B2B SaaS

B2B SaaS paid media is a different sport than DTC or local. Your sales cycle is 30-180 days, your conversion event is a demo (not a purchase), and your real KPI is pipeline-to-CAC ratio — not last-click ROAS. Budget allocation has to reflect that.

The first thing to internalize: at B2B SaaS economics, you're not buying customers from ads, you're buying qualified pipeline. A $300 demo CPA looks expensive next to ecommerce CPAs, but if 25% of demos close at $12k ACV, your blended CAC is fine. Stop benchmarking yourself against B2C creators on Twitter.

2025 CPC ranges that actually hold up:

  • Google Search, branded terms: $2-$6
  • Google Search, category/competitor terms: $8-$25 (CRM, observability, MDM categories push $40+)
  • LinkedIn Sponsored Content: $8-$18 CPC, $120-$200 CPM
  • LinkedIn Message Ads: $0.30-$0.80 per send, but open rates have collapsed since 2023
  • Meta retargeting (warm audiences only): $3-$9 CPC
  • Reddit, technical subs: $0.80-$2.50 CPC
  • YouTube, in-stream for awareness: $0.04-$0.12 per view

Expect raw demo-request CPAs of $150-$450 on Google, $250-$700 on LinkedIn. After SDR qualification, sales-accepted lead (SAL) cost is usually 2-3x the raw CPA because no-shows and disqualifications eat 40-60% of form fills. Bake that into your model before you set targets.

Channel logic by ACV:

  • ACV under $3k: Google Search + Meta retargeting. LinkedIn math doesn't work — your payback period blows up.
  • ACV $3k-$15k: Google Search primary, LinkedIn secondary for ABM-style account targeting, retargeting layer.
  • ACV above $15k: Flip it. LinkedIn ABM and 6sense/Demandbase-style intent become primary; Google captures the smaller demand layer at the bottom.
  • ACV above $50k: Paid ads are a supporting channel. Most pipeline comes from outbound, events, and partnerships. Expect ads to contribute 15-30% of pipeline, not 70%.

Attribution reality. With a 60-day sales cycle, your first 30 days of spend will look like a disaster in any platform's reporting. Set a 90-day attribution window minimum, use offline conversion uploads (Google's Enhanced Conversions, LinkedIn's Conversions API) to feed closed-won data back, and judge channels on pipeline created, not MQLs. Optimizing toward MQLs is how B2B SaaS marketing teams get fired — sales tells the CFO the leads are garbage, and they're usually right.

The biggest mistake. Running LinkedIn Sponsored Content with a generic e-book offer to a 2M-person audience. You'll get cheap-ish leads, your SDRs will hate them, and three months later someone notices 0% close rate. LinkedIn only works when the audience is <50k accounts, the offer is specific (live demo, ROI assessment, peer benchmark report), and the creative names the buyer's actual pain. If you can't articulate which 200 accounts you want meetings with, you're not ready to spend on LinkedIn.

Budget floors by stage:

  • Pre-seed/seed validating ICP: $3k-$8k/month, one channel, expect to learn not scale
  • Series A with PMF signal: $15k-$50k/month across 2-3 channels
  • Series B+: $60k-$250k/month, full-funnel including brand/YouTube

Below $3k/month paid ads aren't your growth lever — founder-led sales and content are. Don't let an agency talk you into spreading $2k across Google, LinkedIn, and Meta.

Example

A vertical SaaS with $8k ACV, 45-day cycle, and $10k/month budget: $4,500 to Google Search (branded + 3 high-intent category terms), $3,500 to LinkedIn targeting a 12k-account list with a benchmark report offer, $1,500 Meta retargeting site visitors, $500 Reddit in two niche subs. Expect 20-35 demo requests, 8-14 SALs, 2-4 closed-won at 90 days.

Tip — Feed closed-won revenue back into Google and LinkedIn via offline conversion imports within 14 days. The algorithms can't optimize toward pipeline they don't see, and form-fill optimization will reliably find you the cheapest unqualified leads on the internet.

Questions

What CAC payback period should B2B SaaS target from paid ads?
Healthy benchmark is `12-18 months` blended CAC payback for SMB SaaS, `18-24 months` for mid-market. Paid-only CAC payback runs longer than blended — usually 1.3-1.7x — because you're paying for demand instead of capturing it organically. If paid CAC payback exceeds 30 months, your channel mix or ICP targeting is broken, not your ad creative.
Should B2B SaaS run TikTok or Meta for cold prospecting?
Almost never for cold B2B prospecting at deal sizes above $2k. The targeting is too broad and you'll burn budget reaching consumers who happen to have a job title. Meta works well for **retargeting** site visitors and warm audiences (CRM uploads of trial users, webinar attendees) — keep it as a 10-20% retargeting layer, not a prospecting channel. TikTok occasionally works for SMB SaaS with a strong founder-led content angle, but treat it as brand spend, not pipeline.
